Ten office jobs: which ChatGPT does alone, and which need a system

Short answer: ChatGPT does more for a small business than it used to: it drafts, summarizes and analyzes files, and since July 2026 its agent, ChatGPT Work, can act across apps you connect, on a schedule or when something arrives. Try it first. A built system still fits when your customers use it directly, when the job lives in software ChatGPT has no plugin for, or when every step has to be checked against your records the same way each time.

A lot of the advice owners get about AI is about chat. Write your emails with it, summarize your meetings. One owner called that surface level and said those tasks were never what slowed the business down. Another wanted to build something that mattered, beyond a chatbot for drafting emails.

They are both right, and ChatGPT is still worth having. The useful question is where it stops.

What can ChatGPT do for a small business by itself?

Anything one person does at a desk with the information in front of them. Hand it a document and it summarizes it. Give it rough notes and it writes the email. Upload a spreadsheet and it finds the pattern.

For that kind of work, a subscription for each person is the place to start.

What can ChatGPT Work do, and where does it stop?

More than a chat window could. In July 2026 OpenAI released ChatGPT Work, which it describes as an agent that can take action across your apps and files and stay with a project for hours.

It connects through plugins to email, calendars, CRMs, project trackers and other tools. Its scheduled tasks can run once, on a schedule, or when something happens, such as a new email. OpenAI says you decide what it can access and when it needs your approval.

That covers a lot of office work, and it is the place to start. Four things still decide whether a job needs a system of its own.

  • Who it works for. OpenAI describes ChatGPT Work as an agent for you and your team. A scheduled task belongs to one account, and a shared task becomes a separate copy for whoever receives it. An assistant that your own customers talk to is a different product, and it has to be built.
  • What it can reach. It reaches the apps that have a plugin. If your ERP or your price list has none, someone has to build that connection.
  • How much it runs. OpenAI limits active scheduled tasks by plan, from 3 on the free plan to 15 on Pro and Enterprise. Tasks set off by an event can run up to 30 times an hour and 720 times a day across an account. Heavier work also uses more of a plan’s included usage. All three were checked on October 7, 2026.
  • Who writes the checks. It checks what you tell it to check. In a built system the checks against your records are written in, and you see them working on your own data before you depend on it.

Which jobs need a system built around the AI?

ChatGPT handles the first five by itself. The bottom five depend on what is connected and on who the job serves.

The job ChatGPT? Why
1. Drafting an email or a paragraph of a proposal Yes Everything it needs is in the request
2. Summarizing a long document or a meeting Yes One file in, one summary out
3. Rewriting a policy or a product description in plainer words Yes A person reads the result before it is used
4. Finding patterns in a spreadsheet you upload Yes, but check its math The data is all in one file
5. Answering staff questions from a handbook Yes, set up once with the handbook The handbook rarely changes
6. Answering your customers from live stock and prices No Your customers do not use your ChatGPT. That assistant has to be built and connected to systems that change every hour
7. Turning every emailed order into an order in the ERP Only if your ERP has a plugin It has to match items against your records and write into the ERP. Try ChatGPT Work first where a plugin exists
8. Deciding what to reorder each morning Possibly, if your sales and stock apps are connected Weighing sales, stock and vendors, and the approval step, are yours to set up and check
9. Following up with every new lead, day and night Partly A task can react to a new email. The schedule, the hand-off to a person and the record are yours to set up
10. Building a claim or a quote from documents scattered across email Yes, one case at a time It can gather from connected email and files when you ask. A system does it for every case, the same way

Rows 6 to 10 are our reading of OpenAI’s published pages on October 7, 2026. We have not tested ChatGPT Work on these jobs, and the product is changing fast, so test your own job before you decide.

Is a custom GPT enough?

For questions and answers it has been. A custom GPT is ChatGPT set up once with your instructions and your documents, so a team that keeps asking “what is our returns policy” can stop asking each other.

It is also on the way out. OpenAI’s help center says it plans to retire custom GPTs and recommends moving to plugins, which pair reusable instructions with connected apps. For affected Enterprise workspaces the date it gives is December 11, 2026, and it says other plans are expected to follow (checked October 7, 2026). OpenAI’s page also says personal accounts, from Free to Pro, cannot create or publish new GPTs. If your team relies on one, read OpenAI’s notice before you build more on it.

A custom GPT answers when someone asks. Work that runs on a schedule, or when an email arrives, is what ChatGPT Work and its scheduled tasks are for.

Is a custom system a different kind of AI?

No. A system built for your business usually runs on the same kind of AI model that powers the chat tools.

What changes is everything around the model. The system is connected to your software, it knows your customers’ history, it starts when an order arrives, and it holds anything risky until a person approves it. That surrounding work is what a builder is paid for.

Airu Labs builds custom AI systems for small and mid-size companies, wired into the software they already use. Three of its systems show the difference. An ordering assistant reads what a customer typed, matches it to what they bought before and places the order once they confirm. A purchasing system writes a distributor’s buy list every morning. A claim assistant finds the right emails and assembles a claim from them.

What should you do first?

Give your team ChatGPT for a month, with ChatGPT Work connected to the apps they use, and watch what they still do by hand. What is left is your list of candidates for a build.

If one of those jobs takes hours every day, it is worth pricing. Book a 30-minute call and walk us through it. If ChatGPT or another tool you can buy would do the job, we say so on the call.

FAQ

Questions people ask.

Can I use ChatGPT for my business?

Yes. It is good at drafting, summarizing, rewriting and analyzing a file you give it. Put staff on a business plan, treat it as an assistant for each person, and check anything it produces before it goes to a customer.

Can ChatGPT automate tasks?

Yes, more than it used to. OpenAI says its agent, ChatGPT Work, can take action across connected apps, and that scheduled tasks can run on a schedule or when a supported Gmail, Slack or GitHub event arrives. OpenAI limits event tasks to 30 runs an hour and 720 a day across an account, as checked on October 7, 2026.

What is a custom GPT?

A version of ChatGPT set up once with your own instructions and documents, so staff do not have to explain the background every time. OpenAI now says it plans to retire custom GPTs and recommends moving to what it calls plugins. For affected Enterprise workspaces the date it gives is December 11, 2026.

What is the difference between a custom GPT and an AI agent?

A custom GPT answers when asked, from the instructions and documents it was given. An agent built for a business is given a job and carries it out: it watches for new orders, looks things up in your systems, and writes the result where it belongs, with a person approving the risky steps.

Does a custom system use ChatGPT underneath?

Often it uses the same kind of AI model, reached through the provider’s service for developers. What you pay a builder for is everything around the model: the connections to your software, the checks, and the approvals.
